General provisions

1. The administrator of listed services is the company: AltaSoft sp. z o.o., Pukowca 15 Street, 40-847 Katowice, KRS: 0000558517, REGON: 361525651, TAX ID: 634283978, D-U-N-S:366197476, hereinafter referred to as AltaSoft.
2. Most of the forms available in AltaSoft services require giving the personal data (as a minimum: name, surname, email address). In accordance with the applicable law, a consent to the privacy policy to personal data processing is essential in successful processing of your query or realisation of the service that requires completing the form. In case of not accepting the privacy policy, electronic submission of the form will not be possible. In such situation we encourage to contact the Customer Service and to inquiry or make the order in other way than online form.
3. AltaSoft reserves the right to make changes in the Privacy Policy. Every Internet user making use of the forms available in AltaSoft services is obliged by the current Privacy Policy. In case of the conference services, performed as a subcontractor, which require specification or changes to this Policy, INFORMATION CLAUSE ON PROCESSING OF PERSONAL DATA applicable during the conference at the process of registration and order of the services has the primacy. Your rights under this Privacy Policy, in case of modifications, will not be limited without your clear consent and any changes do not affect the basic principle:

   AltaSoft does not sell and make available, in any form, to the third parties the personal or the address data neither of its Customers nor any other persons using AltaSoft except the following situations:

   • Legal Considerations: personal data may be made available to the third parties without the user's consent for the following reasons: the requirement of compliance with the law, the provisions or judicial decisions, cooperation with authorities in the course of their investigations, to assist in fraud prevention or to protect the rights of AltaSoft (in case of conference services it also applies to the protection of AltaSoft's contractor's rights - usually the company or the institution organizing the conference).
   • User's Consent: in all other cases, before sharing your personal data to third parties, the inquiry about making the personal data available to third parties will be directed to whom the data relate.
4. Entrusted personal data are stored and secured in accordance with the principles set out in the applicable laws, including: Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation).

Collection of information

1. The following data are collected and processed using the forms available on AltaSoft services:
   • Information given by the Internet user are the data filled in the forms. Usually the required data are at minimum: name, surname, email address. The data are essential to perform a certain service by the AltaSoft.
   • Cookie files - most browsers are initially set to accept cookies, but you can change the settings of your browser to refuse all cookies or to obtain information about the trials of their message. However, if you disable cookies, some features or services offered by AltaSoft services may not function properly. See also "Cookies Policy".
   • Service information - while using some forms (tests, interment questionnaires, registration forms) we automatically register the information sent by your browser while viewing the forms. This can be information such as: IP address, browser type, browser language, the date and time of the logging in or opening the form. We use this information to diagnose errors and improve the quality of our services.
   • Correspondence with the Client - we can store e-mail messages and other correspondence addressed to the company AltaSoft, to be able to answer questions, respond to your requests and improve our services.

Main objectives of processing the personal data

1. Personal information and other data transferred via AltaSoft sites are stored and processed for the following purposes:
   • Implementation of a query or of service covered by the form
   • Quality control and improvement of the quality of customer service and other services provided by AltaSoft
   • Statistical
   • Service - provide the efficiency of the Internet service.
2. In case of the conference services, the purposes listed in point 1 may be both narrowed or expanded. In such situation, an additional INFORMATION CLAUSE ON PROCESSING OF PERSONAL DATA is published and requires your acceptance. The information clause on processing of personal data is applicable during the conference at the process of registration and order of the services. Please read its contents.
3. Processing for any purpose other than declared in the form and stated in the Security Policy is always carried out with the prior consent of the data subject.

Security of information

1. All forms available on AltaSoft services are based on a Secure Socket Layer protokol (SSL).
2. Access to personal data is controlled and restricted. Access is only available to persons working on the basis of legal agreements for AltaSoft, for whom it is necessary in order to operate, develop or improve our services. These persons are bound by confidentiality obligations and in case of failure to comply with these obligations, will be subject to discipline, including termination and criminal penalties.
3. In case of the conference services, the data access rules may differ. In such situation, an additional INFORMATION CLAUSE ON PROCESSING OF PERSONAL DATA is published and requires your acceptance. The information clause on processing of personal data is applicable during the conference at the process of registration and order of the services. You are kindly asked to read its contents.

The rights of the data subject. Update, removal of personal data

1. You have the following rights:
   • The right to access and correct data,
   • The right to rectification,
   • The right to require the removal of personal data ("the right to be forgotten"),
   • The right to restriction of processing your personal data,
   • The right to data portability
   • The right to object to the processing of your personal data.
2. Any data subject shall have the right to lodge a complaint to the supervisory organ (currently the Chairman of the Office for Personal Data Protection) if you consider that the processing of personal data does not comply with this Regulation.
3. Enforcement of the rights mentioned in point 1 of this paragraph - regardless of the method of processing, is always possible through contact with the person supervising the processing of data in AltaSoft. Your requests should be in written form (electronic form - email is acceptable).
4. Major part of forms available in AltaSoft services do not require creating an account. The forms of such type are stored as emails and treated as correspondence addressed to the company. The new inquiry requires giving the personal information.
5. In case of creating an account, the user obtains the access to his data by corresponding login and password. He can modify his data, delete an account or e.g. only undo the consent to certain forms of processing. These activities are performed via secure SSL protocol. A request to be forgotten always requires additional contact with the person supervising the processing of data in AltaSoft.
6. Please be aware that in case of using the AltaSoft services, the request of complete deleting (a request of being forgotten) or changing the data in all the resources of the company, may not be possible - due to the requirements of the law or legal purposes related to the management of the company (e.g. invoices, deadlines of possible claims, archived reports on the presence on trainings and workshops etc.).

The period of data processing

1. Data processing is terminated at the request of the data subject.
2. In the absence of the request to delete or be forgotten, the data is processed until the purpose of their processing ceases to exist (e.g. until the request is terminated, the newsletter is stopped, or the specified services cease or are terminated as the period of possible claims related to them expires).
3. Users' accounts created on AltaSoft services used to register for a given conference are intended to facilitate registration and its changes, as well as easier access to additional services such as payment previews, selection of registration panels, hotel reservations, submission of abstracts, etc. Users' accounts are active and the data provided in them are processed until the end of the period of claims related to a given Conference - if in the INFORMATION CLAUSE ON PROCESSING OF PERSONAL DATA binding during the registration and reservation of services for a given conference is not specified otherwise, no longer than 12 months from its completion, payment details in accordance with the periods required by law (on the day of publication of the Regulations: for a period of 5 years from the end of the calendar year in which the tax payment deadline expired).
4. If during the registration for the conference you have consented to receive information about conferences and conventions related substantially to the topic of the conference you are registering to, your email is automatically added to the newsletter on the newsletter about a specific topic. You can opt out of subscribing to the newsletter by editing the consent of the account associated with the registration (if it is active), or by contacting the Customer Service Department of the Event Organization Department or the person supervising data processing at AltaSoft. In the absence of such cancellation, your email is processed until AltaSoft has decided to end sending the newsletter referred to, or up to 12 months from the last sending of the newsletter (after this period, your consent for data processing is required again).
